Non-Academic Position Request Process

The intent of the process is to ensure that the non-academic (i.e.. A/P faculty and staff) positions across the College of Architecture, Arts, and Design are aligned with the business needs of our programs. This approach should encourage the continual re-evaluation of our resource allocation balanced against the articulated needs in the schools and the dean’s office.

Position Backfill:

Consistent with the college’s approach to faculty positions, the position and salary of departing A/P faculty and staff will return to the college upon the date of separation (i.e., effective date of transfer, resignation, or retirement).

Upon receiving formal notice of the intended separation, the school director or associate/assistant dean can submit a request for the backfill, using the Non-Academic Backfill Request form, assuming the intent is to backfill the role as is (i.e., no functional changes to responsibilities or expectations). Concurrently, the director or associate/assistant dean should work with the direct supervisor of the position to review the position description (PD) on record for the role and make the needed modifications to bring the PD current. When submitting the request, the draft position description—inclusive of the proposed changes—needs to be attached.

Please note that an intent to repurpose the position to provide a different service or function warrants submission of a new position request. (See New Position Request below).

The request to backfill will be routed through the college's Assistant Dean for Finance and Administration and the Director of Human Resources who will confirm details and funding. From there, college leadership will review.

New Position Request:

To fulfill the needs of a program or advance the strategic plan of the college, a school director or associate/assistant dean may find it necessary to request a new staff or A/P faculty position. As such needs are identified, a New Non-Academic Position Request form should be completed and a position description (PD) should be drafted. The PD will provide a summary of the job function in addition to the anticipated duties and responsibilities of the role.

Request forms and draft PDs should be submitted to the Director of Human Resources to confirm classification (staff vs. AP) and identify an anticipated salary range.

Evaluation of Non-Academic Position Requests

Once reviewed by the Associate Dean for Finance and Administration and the Director of Human Resources, requests for backfill or new non-academic positions will be evaluated by college leadership. Backfill and new position requests will be considered relative to the prioritization of business needs. Backfill requests may be denied to allow for the repurpose of a position and fulfillment of a new position request as dictated by the strategic priorities of the college.
